INTRODUCTION - Admin. & Human Resources Cell
Administration & Human Resources Cell is monitoring and controlling administration and HR activities for the office & labour camps, including liaison with Govt. Authorities.
ACTIVITIES:
Recruitment Activities of Staff / Labours which includes, release of advertisement / selection of Recruitment Agencies, arrangement of interviews & selection, Issuance of Appointment Letters, Collection of Documents, Employee ID Creation in ERP, Visa Process & ensure placement of new employee as per selection.
Arrangement of Employment Visa (EV), Labour Card (LC), Medical Examination upon arrival & Residence Visa (RV) Stamping process upon new employee joining.
LC & RV renewals after medical examination at the appropriate time.
Renewal of Passports & Emirates IDs on time.
Liaise with Government Authorities viz; Municipality, DEWA, Police, Labour Department, Immigration, Consulates, Court, etc. Maintaining database of Company Properties/Authorities & monitoring renewals on time.
Customer support activities, attending telephone calls & call transfer, arranging transportation of staffs & HO works, Process of Driver’s petty cash reimbursement, Sorting incoming mails, Coordination for Cheque issuance to Suppliers, coordination for new employees arrival & also repatriation of employees.
Keeping track of the daily attendance of staff and labours across the company & issuance of penalties for the regular absentees, as per the labour law and company policy.
To arrange induction training of new employees, to conduct training (internal / external) as per the approved training schedule and keeping training record. Also to conduct the Internal Training Review.
Generate salary report for staff based on the attendance received from Sites/Divisions/Cells and forward to Finance for salary disbursement both for staff & labours through WPS system.
To provide entire staff Medical Insurance, Group Life Insurance, Workmen Compensation Insurance & timely process of additions/deletions. Timely registration & follow up of accident/death cases with insurance company.
To provide Medical Services to the entire labourers across the company & settlement of Service Provider Bills on a quarterly basis.
In-hospitalization claim process & maintenance of Imprest Cash account towards urgent Medical Services.
Process of Leave application, leave salary, arrangement of air tickets, rejoining formalities & air ticket refunds for the entire employees across the company.
Transfer of Staff / Labours as per the site requirement, upon Management’s approval.
Preparation of Absconding/Long Leave cases & reporting/outside country cancellation accordingly.
Preparation of Salary Revisions / Designation Changes as per Managements approval.
Process of Trade change requests in the LC & RV from employees, upon Management’s approval.
Passport & Labour Card Management of entire employees.
Fax Routing – Across the company.
Management of CV for all the key employees across the company, as per Site Management requirement.
Management of Conflict/Grievance/Disciplinary Action across the company.
Documents & Data Archival, Retrieval & Disposal across the company.
Process & following up of Resignation/Termination, Collection of clearance, Visa cancellation, End of Service Settlement, collection of air tickets wherever necessary, repatriation of employee & updating ERP accordingly.
Preparation of Admin/HR Manuals, new schemes etc. as per Management’s instructions.
Monitoring & Approval of Notice of Absence & Late Stay permissions across the company.
Security arrangement across the Company as per requirement.
Entire Camp Administration including complaints and grievances.
Monitoring & Maintenance and housekeeping at Head Office.
Electronic Filing System – both Personnel Dossiers & Official files separately.
Distribution of Incoming/Outgoing Mails to AHC & Maintenance of the records in EFS.
